Letter from SIRI asking for documents — what it means and how to reply

Illustration of an official letter beside a document checklist, papers and an envelope tray

A letter from SIRI (the Danish Agency for International Recruitment and Integration) asking for documents means it needs more information before deciding your case. Here is a complete example of how to match the requested documents to files and write your reply.

Short answer:

Work through the letter in this order:

  1. Note the case number and the date by which SIRI must have your reply.
  2. List every requested item and match it to a file.
  3. Check that each file is complete, readable and identifiable as yours.
  4. Send the files through SIRI's contact form and save the receipt.

If one item will be late, send the rest before the deadline and ask SIRI for a specific new date for the missing one.

What kind of SIRI letter is it?

Find the sentence that tells you what to do. A request for documents, an appointment and a decision call for different actions:

  • Documents or information: answer each point by the date in the letter. A request is not itself a refusal.
  • Biometrics: follow the appointment instructions. If you cannot get an appointment in Denmark within the deadline, book the earliest available one and tell SIRI its date. If you are abroad, contact the Ministry of Foreign Affairs about an alternative location, then notify SIRI once booked. See SIRI's guidance if you cannot meet the biometrics deadline.
  • Comments before a decision (partshøring): respond to the information SIRI wants your comments on, correct factual errors and attach supporting documents by the stated deadline.
  • A decision (afgørelse): read the result and any appeal guidance (klagevejledning). If you want to challenge the decision, use the appeal procedure specified there rather than assuming a document upload counts as an appeal.

In a Danish document request, look for frist or senest (deadline or “no later than”), sagsnummer (case number) and dokumentation or bilag (documents or attachments).

Example: from SIRI's list to a finished reply

Priya and the letter below are fictional. “EXAMPLE-ONLY” stands in for the case number; use the actual number and dates in your letter.

The letter (shortened)

Date: 5 October 2026
Case number: EXAMPLE-ONLY
Subject: We need additional documentation

To process your application, we need:

  1. a copy of your signed employment contract, all pages
  2. your payslips for August and September 2026
  3. documentation that your salary for September 2026 was paid into your bank account.

Send the documents no later than 26 October 2026 via the contact form on nyidanmark.dk. State case number EXAMPLE-ONLY.

Priya's files and message

Priya includes every contract page and both requested payslips. Her September bank statement shows the salary but not her name, so she adds an account overview with her name and the matching account number. She now has five files. Before sending, she checks their combined size is under the form's 20 MB limit.

Dear SIRI,

I am replying to your letter of 5 October 2026 about case EXAMPLE-ONLY. I attach the documents you asked for:

  1. My signed employment contract, all pages: contract-signed.pdf.
  2. My payslips for August and September 2026: payslip-2026-08.pdf and payslip-2026-09.pdf.
  3. Documentation that my September salary was paid into my account: bank-statement-2026-09.pdf. The statement does not show my name, so I also attach account-overview.pdf, which shows my name and the same account number.

Please include these documents in the processing of my application.

Kind regards,
Priya

She sends it on 22 October. The three numbered points answer the letter in order and explain why there are five attachments. Her name, date of birth and case number also go in the form's fields.

Prepare documents SIRI can use

Check the SIRI documentation requirements as you prepare your files:

  • Scan or photograph whole pages clearly. Include every page.
  • Make the connection to you visible. Explain supporting identity documents as Priya does above.
  • Prefer PDF and as few files as practical. Send attachments, not ZIP files or cloud links; the form also rejects password-protected files.

Translations: marriage and custody documents need Danish or English; education documents can also be in Norwegian, Swedish, French or German. Where translation is needed, use an authorised translator and attach the original too.

Other documents generally need no translation for third-country applicants and their accompanying family. But public documents issued by an EU country need a complete multilingual standard form in Danish or English, or an authorised translation. That form is also an alternative for EU-issued marriage and custody documents.

EU-rule applicants generally need other documents translated into Danish or English, with the same public-document form option. German-language documents from members of the German minority in Southern Jutland are exempt.

Send it through SIRI's contact form

SIRI recommends its contact form for documents and personal information. Its secure communication guide also explains how to use Digital Post.

  1. Open SIRI's contact form and choose “I need to respond to a letter from SIRI or send documentation”. The option for submitting a new application is not for adding documents to an existing case.
  2. Fill in the applicant's details and copy the case number from the letter. If you have a Danish CPR number, include it so SIRI can send confidential answers by Digital Post. Without one, SIRI asks you to phone for answers containing personal information.
  3. Choose “I wish to submit documentation”, add your message and attach the files. The form allows up to 10 files totalling 20 MB. Accepted types include PDF, Word, JPG and PNG.
  4. Review the attachment list before pressing Send. Save or print the on-screen confirmation, and keep your own copy of the message and files: the e-mail receipt does not include everything you sent.

If the files exceed the limit, split them into numbered submissions with the same case number, for example “part 1 of 2” and “part 2 of 2”. List the attachments in each message so SIRI can connect them.

For Digital Post, log in with MitID at lifeindenmark.dk, mit.dk or e-Boks and search for “Styrelsen for International Rekruttering og Integration”. Use one of these official channels for personal documents instead of ordinary e-mail.

If a document will be late

Before the deadline, send what you have, explain the missing item and ask for a specific new date. Keep working towards the original deadline unless SIRI confirms an extension.

In a different version of Priya's example, HR cannot provide her signed contract until 28 October. On 22 October she sends the other four files with this message:

Dear SIRI,

I am replying to your letter of 5 October 2026 about case EXAMPLE-ONLY, which asks for documents by 26 October 2026.

I attach my payslips for August and September 2026, my September bank statement and an account overview showing that the account is mine.

My signed employment contract is still missing. My employer's HR department has told me that they can issue a signed copy on 28 October 2026. I therefore ask for a new deadline of 30 October 2026 for the contract.

Could you please confirm whether I can send the contract by 30 October 2026?

Kind regards,
Priya

When the contract arrives, she sends it with the same case number and refers to this message. If your deadline has already passed, send what you have promptly and ask SIRI whether a decision has been made.

After you send

The on-screen confirmation means your submission reached SIRI. SIRI also sends an e-mail receipt; if you can receive Danish Digital Post, a receipt may be there too. With no confirmation or receipt, SIRI says to send again. A receipt proves delivery, not assessment or approval.

SIRI contacts you when it needs more information or has decided. Additional documents can lengthen processing; the processing-times overview shows the times for each application type. If a letter is unclear, SIRI's Danish- and English-speaking phone staff can explain it.

Help reading the letter and writing the reply

SkrivSikkert can explain or translate a letter, read it aloud and help you word and proofread your reply. Use the web platform or the Chrome extension on the websites you work in. Many functions are free without login.

Ask Sofia: “List every document this letter asks for, with the period and deadline, and draft a short reply in English that matches my file names.” Compare the resulting list with the letter, then add the finished reply and files to SIRI's form.

Frequently asked questions

How long do I have to reply to SIRI?

Use the date in your letter. A document request, a biometrics appointment and an appeal can have different deadlines.

Can I get more time to send a document?

Ask SIRI before the deadline. Send what you have, explain what is missing and propose a date. The extension is only agreed once SIRI confirms it.

How should I name my files?

Use names that tell SIRI what each attachment contains, such as contract-signed.pdf and payslip-2026-09.pdf. Use those same names in your message and put your case number in the form.

I sent my documents but have heard nothing. What now?

Check for confirmation on screen, by e-mail or in Digital Post. With no receipt, send again. If receipt is confirmed, SIRI normally contacts you when there is news.

Can someone else contact SIRI for me?

SIRI needs your power of attorney before giving another person information about your case, even family. You can give it verbally on a joint phone call if you can understand and answer SIRI's questions yourself.
