This letter, municipality, address, case number and person are fictional. Samira has received an invitation and wants to confirm that she will attend.
The Danish letter
What the letter asks Samira to do
The municipality wants to meet about her application. It asks for an answer about whether she can attend; it does not say that the application has been approved.
- Reply by: 9 October 2026. The letter does not specify a time of day.
- Meeting: 14 October 2026 at 10:30, Borgerservice, Parkvej 4.
- Send to: Borgerservice in Eksempel Kommune through Digital Post.
- Subject: include EK-26-418.
- If she cannot attend: propose another time in her reply.
The two dates serve different purposes. Putting only 14 October in a calendar would leave the earlier confirmation unfinished.
A precise instruction for Sofia
Explain this letter in English. List the sender, what I need to do, the reply deadline, the meeting date and time, and the requested reply channel. Quote the Danish wording for each date. Then draft a short Danish reply: I can attend the meeting on 14 October 2026 at 10:30. Include case number EK-26-418. Give the English meaning of the reply. Do not add documents, promises or other facts.
Samira supplies the fact that she can attend. The letter alone cannot tell Sofia what she wants to answer.

The answer confirms the appointment requested in the letter and includes the case number. It makes no claim about the outcome of the application.
If Samira needs a different time
Suppose she cannot attend on 14 October at 10:30, but can attend on 15 October after 13:00. Her answer changes to:
English meaning: Subject: New meeting time – EK-26-418. Hello Borgerservice. Thank you for the invitation. Unfortunately, I cannot attend the meeting on 14 October 2026 at 10:30. Could we instead arrange a time on 15 October after 13:00? Would you confirm the new time through Digital Post? Kind regards, Samira.
This proposes a change and asks for confirmation. It does not turn 15 October into an agreed appointment. Samira still sends her answer by 9 October and looks for Borgerservice's reply.
Send the answer through the letter's channel
For this example, Samira uses Digital Post. Public Digital Post can be accessed on borger.dk, in the Digital Post app, in e-Boks or in mit.dk. An English interface makes the controls easier to use; it does not translate the letter itself. The official Digital Post guide explains access and sending.
Use Reply if the letter offers it. Otherwise, create a new message, choose the municipality and, if offered, the relevant category, and include the case number in the subject. Put the finished Danish answer in the message and check the recipient before sending. If your own letter requests attachments, attach the actual files named in your answer.
After sending, find the message in sent mail and keep it with the original letter. For Samira's confirmation, add the meeting on 14 October at 10:30 to the calendar you use. For her alternative reply, keep the original appointment visible until Borgerservice answers, then update the entry to the time it confirms.
Check the facts and listen to the reply
Compare the Danish answer with both the letter and your English instructions. Check names, case numbers, dates, times, attachments and what you are agreeing to. Pay particular attention to kan (can) and kan ikke (cannot): they give opposite answers.

How do I know that my answer has been sent?
Send it through the method named in the letter and check the confirmation or sent-message view there. In the example, Samira checks her sent Digital Post message, including the recipient, subject and text. An answer drafted in Sofia is ready to copy; the sending step takes place in Digital Post.
