Written steps
  1. Step 1

When several cards need the same layout, connect a design to a table. We will create three fictional garden activities. The logo, colours and fonts stay consistent while the activity and time change. We will check every result before exporting.

  2. Step 2

Prepare a table with a header row and one activity on each row. Our columns are Activity and Time. Check the dates, punctuation and matching rows. Save as a UTF-eight CSV file, or use this exercise file. Avoid blank rows and unnecessary personal information.

  3. Step 3

Start in a separate copy of your own practice card. Open Bulk create in the side panel. Choose Bulk Create. This feature needs the relevant account access. Our template has two text boxes: a heading and the details underneath. Keep the original design for later use.

  4. Step 4

Click Upload data and choose the garden activities CSV file. Wait for Activity and Time to appear in the panel. Check the column names before connecting anything. Canva also supports other data sources; this exercise uses only our own small file.

  5. Step 5

Select the heading on the card. Click Match data, then choose Activity. The purple label confirms the connection. The template still shows its original wording; the generated results will use the table. Keep the logo and background outside the data connection.

  6. Step 6

Select the details text box. Click Match data and choose Time. The entire text box will be replaced by the value in that column. Each piece of information that needs to change independently should have its own text box and its own data column.

  7. Step 7

Open Preview and inspect the first activity and time. Click Next design for the second card, then Next design again for the third. Check the longest heading and every date. All text must fit, and each activity must stay paired with the correct row.

  8. Step 8

Click Create one design and wait for Canva to finish. In this setup, the three data rows become three pages in one new design. A completed generation confirms that the operation ran. It does not prove that all three cards are ready to share.

  9. Step 9

Open Home. Find the new Bulk document under Continue designing and check that it has three pages. Open it. Keep the template and the source CSV as well, so you can update the data and make another series later.

  10. Step 10

Inspect the new document page by page. Check Planting day, Seed swap and Harvest festival against the table. Confirm the time on each page, then check the logo, colours, font size and spacing. Review the actual generated pages even when the previews looked correct.

  11. Step 11

Open Share, then Download. Choose PDF. Keep Digital and check that All pages are included. Click Download and wait for the file. This gives us one review document. Choose a different file type when your actual channel requires it, and inspect every exported file.

  12. Step 12

These are the three pages from the actual PDF export. Compare them with the source table. Each activity has its own correct time, with the same visual style. Try three other fictional activities. Correct mistakes in the data or template, generate again, and repeat the checks.
