Share a design with the right permissions

Use a fictional practice design to compare view-only and editing access. Restore private access, add a specific review comment, and resolve it after checking the design.

Written steps
  1. Step 1

A design link and permission are different things. In this lesson, we use our fictional garden invitation to check who can open a design, create a view-only link, and leave a useful review comment. We do not invite anyone or send the link. Use material you have permission to share.

  2. Step 2

Click Share. Under People with access, check who already has permission. This practice design shows its owner. Open Access level. Only you can access keeps this link private. Anyone with the link lets people open the design without signing in. A forwarded link can reach someone you did not expect.

  3. Step 3

Choose Anyone with the link. Open Link sharing permission. Can edit allows changes, Can comment allows feedback, and Can view is for reading. Choose Can view. Check both settings together before copying a link. Use the least access needed for the task, especially when a design contains private information.

  4. Step 4

Check that Access level says Anyone with the link and the permission says Can view. Click Copy link. This copies the address; it does not send an invitation or prove that a recipient has opened it. Before sharing real work, check the recipient, the information in the design, and the permission.

  5. Step 5

Open Access level again. Choose Only you can access. The practice link is private again. This changes access through the link. People who were added directly can have separate permissions, so check People with access as well. Close Share to return to the editor.

  6. Step 6

Click View all comments, then Add comment. Write a concrete review note: Check that the captions are readable on a small screen. Click Submit comment. We leave this note on our own practice design without mentioning anyone. A useful comment identifies what needs checking and what a good result should look like.

  7. Step 7

Read the review note and inspect the captions in the design. They should be clear against the background and leave the invitation text visible. Once the issue has been checked, click Resolve. Resolving a comment marks the discussion as handled. It does not automatically change or improve the design.

  8. Step 8

Close the comments panel. Before handing over a design, check the finished content, the people with access, and the link permission. Keep editing rights for people who need to make changes. Use comments for specific feedback, then check the actual correction before resolving the discussion.

What you need
