Share schoolwork with the right access

Select access and role, copy a link, and restrict access again.

Written steps
  1. Select who may open

Before you share a school assignment, you need to choose who may see it, and what they may do. Open the project folder, and select the file you want to share. Click Share, the person icon with a plus in the toolbar. People with access shows who already has access. Restricted means that a link alone does not give new people access. If you need to share with specific classmates, use the Add people field at the top and their school accounts. Here we show a link to a non-sensitive practice file. Click Restricted under General access. Choose Anyone with the link. Then anyone who gets the link can open the file. Do not use this option for private information, and always follow the school's rules.

  2. Select permission and copy link

Click Viewer to see what permissions the link gives. Viewer can view the content. Commenter can also comment. Editor can change the file. Only choose the access that is needed. Here we choose Viewer, because the recipient only needs to read. Click Copy link. Drive shows Link copied. You can now paste the link where it is needed. Click Done to close the sharing window. A copied link is not the same as an assignment being handed in to the teacher.

  3. Remove open link access

You can change access later. Select the file, and open Share again. Click Anyone with the link under General access. Choose Restricted to remove open link access. Check that it says Restricted, and click Done. People who have been added separately may still have access. They are handled under People with access. Try it yourself with a non-sensitive practice file: Open Share, explain the difference between the three roles, and check access. If the school has removed an option, follow the school's instructions. Never give more access than the task requires.
